The Green Ayre Suite (Concert Room)


We are extremely proud to date of the Green Ayre suite facilities we have developed for our members over recent years with a full refurbishment in 2012 and decoration refresh in 2019, so much so that on occasions we hire out the venue to Non Members (The Suite must be applied for by a fully paid up member as a Guarantor for your event)

The Green Ayre Suite here at Lancaster Railway sports and social club (LRSSC) is the ideal venue to host you’re celebration with a circle of life special event from Baby showers, Christenings, Children’s Party’s, birthdays, family fun days, engagements, weddings, Birthdays of the decade, wedding anniversaries, retirement parties, Funeral Teas to bereavement gatherings to name just a few or even a business meeting / Training event should you wish.

It is our aim to provide whatever you need to make the function you are planning a success. We strive to provide value for money and be the best in the area at what we do.

With the Suite accommodating up to 120 for a casual party and up to a 100 for a more formal event, made up of 72 chairs & 28 fitted bench seating it can be configured to how you wish. The Suite has its own dedicated street access also incorporating Disability access, Fully Licensed Bar, Dance Floor, Stage, Gents, Ladies and Disabled Toilet, with baby changing facilities, Access to the Beer Garden and parking for up to 10 Cars at the front, and If required permission could be sourced in advance for parking for another 20 plus cars at the side of the building. Sorry we don’t have space for the helipad as yet nor have we been able to gain permission for a mooring on the river for the private Yacht.


Venue Availability

The Suite is available for hire at any time day or evening if you are quick enough (demand is high), 364 days of the year (Sorry the Green Ayre suite is closed Christmas day). Our Normal opening times are as stated on our home page.

Table, Seating & Decorations

The Hire cost includes chairs and tables of 4, 6, or 8s set out to your specifications. Should you require other presentable decorations to fit the mood of your event we can help with Table covers, Chair covers and full room and table decorations at an additional charge or you may wish to decorate the room yourself or use an outside event company the choice is yours. Sorry but for everyone’s safety we do not allow candles, Fireworks, Chinese lanterns or any other naked flame decorations.

Catering

Lancaster Railway sports and social club regrettably does not have full in house catering facilities in which to provide, hold, prepare and serve safe function food to an acceptable quality for large numbers. Therefore should you wish to offer food to your guests you will need to source an external caterer, that has a very good knowledge of food safety and is preferably registered and Licensed with Lancaster City Council. External caterers are recommended also to provide evidence of their Liability insurance prior to the event. (All caterers on the day are fully responsible for the food they serve / served, the Railway club takes no responsibility or liability for food served).

The Railway club also does not have the chilled / cold holding facilities that meet the current food safety regulations to store food prior to, or after the event, so your caterer must fully act upon this information and take steps for your guests safety.

We can help with the sourcing of catering contacts that meet the above criteria, and are able to meet your budget should you find this service of help.

Bar Facilities

Due to our Licensing conditions all drinks must be provided via the LRSSC Bar without exception.

Prices are very similar to a reasonably priced public House and whilst we have a full selection of draught and bottled beers, Lagers, wines, spirits and soft drinks we can also cater for any special need that you may have. We also provide the bar staff and include this within the Hire charge.

The Bar is licensed until 11.45pm Last orders but on some occasions we are able to apply for an extension to these times should you require at an extra cost.

(The Railway club fully reserves the right to Close the Bar to all guests and consult with the organiser of the event immediately regarding an individual or individuals found or observed bringing into the venue none purchased drinks from the clubs bar)

Smoking, E-Cigarettes, Vaping and Drugs policy.

Smoking is not allowed within the clubs Building but allowed within the purpose built designated areas which are situated out side the Members Castle Bar and Green Ayre Suite and also including the Members Garden Area. Please dispose of Cigarette ends in the provided ash trays and collectors, Many Thanks. Regrettably it is also recently the policy of the committee that E-Cigarettes and Vaping are no longer allowed to be used or consumed within the Clubs Building, but allowed through out the clubs out side grounds. DRUGS both the participation / use or dealing, The Club’s Committee and Membership has a Zero tolerance policy through out the Buildings and Grounds of LRSSC.

Entertainment

Dance Floor & Stage

A dance floor measuring a generous 8.5 x 6.8 Meters comes included in the Hire cost, along with access to the Stage measuring approximately 4.7 x 1.8 Meters.

AV Equipment

The Green Ayre suite also has a Ceiling mounted projector including a drop down screen, Disco lighting, Voice PA and CD player for Back ground music should you wish to hire as an addition.

WiFi

Cleaning Up and Departure

Afternoon events, last orders at the Bar is 4.30 pm with departure at 5pm prompt, please note no access to the Castle Bar (Members Bar) by non-members is allowed during or after the event.

Evening event Bar last orders are 11.45pm with departure at 12.15pm prompt; please note again no access to the Castle Bar (Members Bar) by non-members is allowed.

Post event final cleaning (By Pauline our star with a duster & Hover) is included within the Hire fee e.g. clearing glasses from tables, washing tables, sweeping and Mopping Floors and disposal of filled rubbish bags.

Please note that what is NOT included is general clearing of rubbish, food displays, Decorations and personal effects. Any OR other Damage to the facilities will be fully charged to the Event Organiser / Member Guarantor for full repairs.

Access to members Bar during and after your event departure time

As we do not wish to offend

Non-members are not allowed or be signed in by a member to the Castle Bar (members bar) during or after the event. Please inform your non-member guests of this especially coming to the end of an afternoon event e.g. Christening, Children’s parties etc.

Room Hire rates

Full payment is required when the committee agrees to the event and once paid within two weeks (2) this will confirm the booking. Should this payment be late in coming we reserve the right to cancel the booking promptly.

Hire by non-members will require a current FULLY PAID member to guarantee the function who will then be fully responsible for the event. Regrettably we do not accept bookings for 18/19/20th birthday parties.
